How Rapflections handles data and anonymity.

1. Who is responsible?

Rapflections is a digital tool developed by DoDiversity. DoDiversity is a trade name of Martin Van Engel Holding B.V. and acts as the data controller for personal data processed within Rapflections, unless stated otherwise.

Rapflections is technically developed by Luso Nexo, Unipessoal Lda (Portugal, NIF 517855496), which acts as data processor for technical development and maintenance.

2. What does Rapflections do?

Rapflections helps participants reflect on values and behaviour through short rap quotes. Based on selections (and optional likes), a personal profile is generated. Participants may indicate what fits and what does not. In some versions, a deeper reflection step follows using the STAR method (Situation, Task, Action, Result).

The profile is intended as a conversation starter. It is not a definitive assessment and must not be used as the sole basis for decisions (such as hiring decisions).

3. What data do we process?

Rapflections is designed to process as little personal data as possible. The data processed depends on the version used.

3.1 In all versions

  • Technical log data necessary for functioning and security (for example error logs and timestamps). Where possible, these are not directly identifiable.
  • A random participation identifier (UUID).
  • Quote selections and optional likes.
  • Profile accuracy ratings and optional feedback.

3.2 STAR reflection (open text fields)

In certain applications (for example "Apply"), participants may enter open text responses following the STAR method. These texts are stored as part of the participation record.

Do not include personal data in open text fields (such as names, addresses, employers, phone numbers, email addresses, exact locations, or other identifiable information). You are responsible for the information you provide.

3.3 Demo version: email address

In the demo version, we request an email address to send an access code. Optionally, we may send one follow-up message asking about your experience. The email address is not linked to your responses.

4. Purposes and legal basis

  • Providing access to the tool and ensuring security (performance of a contract).
  • Generating and displaying a profile (performance of a contract).
  • Improving the tool and refining the profile algorithm using anonymised feedback (legitimate interest).
  • Generating aggregated, non-identifiable insights at group level (legitimate interest).
  • Demo only: sending access codes and, with consent, one follow-up email (consent).

5. Sharing profiles and organisational roles

You may choose to share your profile or output with an organisation, for example by sharing your UUID or exporting your results. If you share your output, the receiving organisation determines how it uses that information and typically acts as an independent data controller for that use.

6. Retention periods

  • Demo email addresses are automatically deleted after 5 days.
  • Other data is retained in anonymous or minimally identifiable form to support profile generation, algorithm improvement and aggregated analysis.

7. Security

We implement appropriate technical and organisational measures, including secure connections (SSL/TLS), access control and logging. Where possible, data is processed and stored within the European Union.

8. Hosting and third parties

  • The Rapflections website is hosted via Cloudflare Pages.
  • The Rapflections tool may be hosted via Anvil.works on AWS servers in EU-West-2 (London).
  • We link to or embed external platforms such as YouTube, Spotify, Vimeo and LinkedIn. When loading or playing such content, these providers may process data as independent controllers.

9. Your rights

Because participation is often fully anonymous, responses usually cannot be linked back to an individual. As a result, rights such as access, correction or deletion may be limited in practice. If you have provided an email address in the demo version, you may request deletion of that email address (if not already automatically removed).

10. Use of rap quotes

Rapflections uses short rap quotes with attribution (artist, track, album, year). Copyright remains with the original rights holders. Quotes are used solely to facilitate reflection and dialogue.
